Summary

The main responsibilities of this position is to perform a variety of an administrative and clerical tasks. Duties of the Administrative Officer include providing support to supervisor and employees, assisting in daily office needs and general administrative activities on daily basis. The position reports directly to Senior Regional Program Manager based in Sukkur.

Responsibilities

  •  Maintaining office equipment
  • Supervise support staff like cook and cleaner
  • Preparing monthly/quarterly cash projection for upcoming operational expenses of regional office
  • Ensure timely dispatching stationery and other items required to district offices for different activities/event
  • Organizing conference room for scheduled meetings
  • Maintain office cleaning and regular/need based maintenance of office building/fixtures
  • Facilitate travel request approvals and arrange for boarding and lodging of visitors
  • Provide admin support in different events outside the regional office like school opening ceremonies, meetings, and other events
  • Preparing Monthly Procurement Requests (PRs) for different jobs like purchasing of office supplies, payment of utility bills and etcetera
  • Ensure timely payment of utility bills
  • Maintain office record
  • Issue gate pass of material coming in or going out of regional office
  • Call weekly staff meeting and record meeting minutes
  • Facilitate HR in collection of monthly staff timesheet and other need based jobs
  • Any other task assigned by supervisor

Required Skills and Experience:

  • Bachlor's degree in relevant field
  • 2-3 years of experience in the administration preferably with USAID funded project
  • Knowledge about MS Office applications,   including   good   knowledge   of Excel and PowerPoint
  • Good  inter-personal  communication skills
  • Capacity to deliver task on time
  • Demonstrate approach to work that is characterized by commitment, motivation, energy and flexibility
  • Ability to relate  to  people  from  diverse  cultural  backgrounds and  establish  good  working relations
  • Ability to work calmly under pressure and meeting deadlines
