Sr. Officer Administration

WWF – Pakistan Salary Grade: C2
Positions: Individual

Duties & Responsibilities

  • Fleet management: Oversee the entire fleet of vehicles, ensuring proper maintenance, timely servicing, documentation, and compliance with safety standards.
  • Hotel management: Coordinate bookings, reservations, and relationships with hotels for official travel and events.
  • Charity commission renewals: Ensure timely submission and renewal of charity commission registrations and compliance requirements.
  • Joint stock companies renewals: Manage renewals and compliance with joint stock company regulations.
  • Office management: Supervise office facilities, supplies, and administrative support services to ensure smooth operations.
  • EOBI management: Handle Employees’ Old-Age Benefits Institution (EOBI) registrations, contributions, and compliance.
  • Attendance management: Monitor staff attendance records, leave management, and reporting systems.
  • Electrical, Mechanical & Plumbing: Possess basic knowledge to oversee maintenance and coordinate with technical staff for repairs.
  • Cleaners & housekeeping management: Supervise cleaning staff and ensure hygiene standards across office premises.
  • Ensure compliance with WWF-Pakistan’s policies, dress code, and administrative procedures.
  • Prepare and submit monthly administrative and operational reports to the Manager Administration.
  • Maintain records of expenses, contracts, and service providers.
  • Ensure adherence to Government of Pakistan’s rules and regulations where applicable.

Selection Criteria

Education & Experience

  • Minimum Bachelor's degree in Business Administration, Management, or related field.
  • At least 5 years of relevant experience in administration, fleet, and office management.

Skills & Attributes

  • Medically fit as per prescribed criteria.
  • Strong organizational and multitasking skills.
  • Familiarity with compliance requirements of charity commissions and joint stock companies.
  • Ability to manage staff attendance systems and office housekeeping.
  • Basic technical knowledge of electrical, mechanical, and plumbing systems.
  • Ability to read and write English and Urdu.
  • Familiarity with development organizations’ working environment.
  • Strong interpersonal and communication skills.
