Aga Khan Health Service, Pakistan is looking for competent Admin and Finance Assistant based at Regional Office, in lower Chitral

Job Summary: The Admin and Finance Assistant assists with equipment requests, coordinates submissions to the purchasing unit, records and tracks data and supports supplies management for health facilities to ensure accurate financial documentation, prepares budget-related documents, provides updates on project budgets and contributes to effective budget tracking and operational efficiency across the organization.

Role and Responsibilities:

  • Prepares transportation for staff, visitors and guests and processes monthly utilization reports.
  • Ensures that generator logbooks are analyzed and the data is recorded in the database.
  • Provides requested parts for vehicles and generators and prepares data sheets for all repairs and maintenance.
  • Coordinates fuel for vehicles and generators and prepares monthly consumption reports.
  • Maintains stationery stock, manages the receipt and distribution to staff and departments and prepares monthly consumption reports.
  • Supervises support staff (cleaners and cooks), prepares work rosters and monitors staff to ensure efficient and effective performance.
  • Arranges and schedules appointments, plans meetings and takes detailed minutes.
  • Processes administrative requests and queries.
  • Develops and distributes emails, correspondence, memos, letters, faxes and forms.
  • Maintains the office building, electrical equipment and furniture.
  • Ensures the updated record of assets.
  • Ensures the conducting of the quarterly assets physical count of the respective unit and shares the report with his or her supervisor.
  • Verifies daily financial documents and prepares vouchers.
  • Ensures the completion of signature transactions according to the account charts.
  • Assists in maintaining the filing systems on a project basis.
  • Records daily cash transactions in the cash book.
  • Performs any other tasks as assigned by the Line Manager.

Education, Experience & Competencies

  • Bachelor's or Master’s commerce or relevant subject
  • 1 year experience, preferably within healthcare systems or large service organizations.
  • Strong Interpersonal communication skills.
  • Demonstrates clear and effective verbal and written communication skills; proficiency in local language is an advantage.
  • Proficiency in MS Office applications; knowledge of MS Access is an advantage.
  • Results-driven, ethical and adaptable professional with a strong service and stakeholder focus.
  • Strong integrity with the sensitivity to manage confidential information.
  • Demonstrates superior organizational skills and the agility to multitask and assume changing strategic responsibilities in a dynamic environment.
  • Possesses strong integrity, intellectual humility and demonstrable expertise in navigating ambiguity and constant change.
