Job Summary:

The Receptionist serves as the first point of contact for the organization, providing professional front-desk service and administrative support. This role is responsible for welcoming visitors, handling incoming calls, managing correspondence, and supporting various administrative tasks to ensure efficient office operations.

Job Description:

Key Responsibilities:

Front Desk Management:

  • Greet and welcome visitors, ensuring they are signed in and directed to the appropriate staff member.
  • Answer, screen, and forward incoming phone calls in a polite and professional manner.
  • Maintain the reception area in a tidy and presentable condition at all times.
  • Provide basic information to guests and respond to general inquiries about the organization.

Communication & Correspondence:

  • Receive and distribute incoming mail, packages, and deliveries.
  • Prepare outgoing mail and coordinate with courier services as needed.
  • Maintain a log of all incoming and outgoing correspondence.

Administrative Support:

  • Assist in scheduling and preparing meeting rooms, including setting up materials and refreshments.
  • Support photocopying, scanning, printing, and filing tasks as requested.
  • Help with booking appointments, travel arrangements, or logistics when needed.
  • Maintain office contact lists, telephone directories, and visitor logs.

Office Support:

  • Monitor the availability of front desk supplies (e.g., visitor badges, forms, pens) and request replenishments as needed.
  • Support HR or admin teams with clerical tasks, data entry, or file management.
  • Ensure security procedures are followed for visitors and staff, such as ID checks and access control if applicable.

Qualifications & Experience:

  • Bachelor in Commerce or a related field.
  • Minimum 1–2 years of experience in a receptionist or front-desk role, preferably in an NGO or international organization.
  • Excellent verbal and written communication skills in English and local language.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Strong interpersonal skills and a customer-service mindset.
  • Professional appearance and demeanor.

Desirable:

  • Experience in managing a switchboard or multi-line phone system.
  • Familiarity with NGO or donor-funded project environments.
  • Ability to manage sensitive information with discretion and confidentiality.

Working Conditions:

  • Office-based role with standard working hours.
  • May occasionally work extended hours during events or high-level meetings.
