Position Objective:
- The Logistics Assistant has responsibility for the management of logistics systems and activities, for the capital office and support to bases in Pak-Mission.
- To perform any other duties as requested by the Logistics Manager and Log team at capital and bases.
- To organize all logistics processes, including warehousing, communications and transport, as well as the related administrative procedures, for ACTION AGAINST HUNGER operations.
- To implement and monitor logistics systems, in accordance with ACTION AGAINST HUNGER policies and procedures.
Relevant Experience: Bachelor's Degree in relevant field and/or relevant technical qualification. Minimum 02 years of overall experience and 01 year in relevant field in development sector
Job Description:
Mission 1: Contribute to the definition of mission strategy
The Logistics Assistant is responsible for:
- Support the Logistics Officer (LO) and mission logistics team at capital and base level.
- Maintain and update logistics tracking tools (fleet, travel, warehouse, assets, premises).
- Prepare and share regular logistics reports (weekly/monthly).
- Ensure proper filing and documentation of all logistics records.
- Maintain coordination with suppliers, government offices, and partner NGOs for logistics-related matters.
- Possess excellent understanding and skills in logistics/supply chain management
Mission 2 : Travel & Accommodation Management
The Logistics Assistant is responsible for:
- Arrange air tickets, road travel, and hotel/guesthouse bookings for staff.
- Ensure all travel requests are approved and compliant with ACF procedures.
- Maintain and update the Travel Tracker on a weekly basis.
- Coordinate with travel agents for best pricing and availability.
- Ensure all hotels/guesthouses are security cleared.
- Share travel plans with relevant staff, drivers, and field teams.
- Arrange airport pickups/drop-offs and inform drivers in advance.
- Ensure collection of boarding passes and reconcile with finance.
- Monitor supplier payments (travel agents, hotels) within agreed timelines.
Mission 3: Fleet Management
The Logistics Assistant is responsible for:
- Plan and allocate vehicles based on program needs in coordination with LO/LM.
- Monitor vehicle usage, fuel consumption, and driver performance.
- Ensure compliance with ACF fleet SOPs and driver regulations.
- Maintain complete vehicle documentation (registration, insurance, maintenance, tracker).
- Ensure timely repair & maintenance as per schedule.
- Ensure vehicles are equipped with safety items (First Aid kit, fire extinguisher, tools).
- Conduct field assessments for transportation feasibility when required.
- Maintain updated fleet tracking and reporting tools.
Mission 4: Supply Chain Management:
The Logistics Assistant is responsible for:
- Review and verify procurement requests before processing.
- Raise Purchase Requests / Purchase Lines in Link.
- Support direct procurement processes in compliance with ACF procedures.
- Follow up with suppliers to ensure timely delivery of goods/services.
- Coordinate with finance for timely payment processing to vendors.
- Maintain procurement documentation and filing.
Mission 5: Warehouse & Asset Management
The Logistics Assistant is responsible for:
- Support warehouse operations including receipt, storage, and dispatch of goods.
- Maintain stock records (bin cards, stock reports, inventory lists).
- Conduct regular physical inventory checks.
- Ensure proper storage conditions and safety standards.
- Support asset registration, tagging, and tracking.
- Maintain updated Equipment/Inventory list in coordination with logistics team.
Mission 6: General administration and secretary work
The Logistics Assistant is responsible for:
- Manage reception calls, visitor handling.
- Ensure office, guesthouse, and kitchen hygiene standards are maintained.
- Maintain meeting room schedules and readiness.
- Manage office supplies (stationery, cleaning, kitchen items).
- Handle courier (TCS), dispatch, and mail register.
- Support petty cash reconciliation (as assigned).
- Ensure proper filing of administrative documents.
- Support facilities management at office and guesthouse level.
Mission 7 : Ensure compliance with ACFs gender equality, child protection sensitivity and Safeguarding policies
This position is responsible for:
- Ensure all activities comply with ACF logistics procedures and policies.
- Read and adhere to ACF Gender Equality, Safeguarding, and Child Protection Policies.
- Promote inclusion and a respectful working environment.
- Report any safeguarding concerns according to ACF procedures.
Specific skills needed to perform the function
- Substantial experience in Humanitarian responses
- Excellent coordination and interpersonal skills
- Able to analyze and summarize complex technical and contextual information
- Fluent in English, reading writing and speaking. Fluency in local language of the program implementation area will be preferred
- Excellent computer skills
- Team management skills
- Ability to handle stress and pressure
