Objective of Consultancy:

The Administrative Closeout Coordinator is responsible for supporting with the efficient and compliant operational closeout of the Project. This includes coordinating the disposition of project assets, managing the transportation of project files, and overseeing the proper handover of office premises. The role involves close collaboration with project teams, vendors, and stakeholders to ensure all closeout activities are completed accurately and on schedule.

Principal Duties and Responsibilities (Essential Functions)

As Administrative Closeout Coordinator, the consultant is responsible for the following principal duties and responsibilities:

  • Assist in executing the operational closeout plan.
  • Support proper disposition of project assets in compliance with Donor regulations.
  • Support with organizing and overseeing the packing and transportation of project files to the company's home office.
  • Assist with ensuring all project documentation is archived and transported securely and efficiently.
  • Assist in planning and executing the handover of office premises.
  • Ensure the premises are vacated, cleaned, and returned in accordance with the lease agreement.
  • Assist in resolving any issues that arise during the closeout process.
  • Assist the Senior Director FOC & HR in ensuring compliance with all donor and company policies and procedures throughout the closeout process.

Required Skills & Qualification:

  • Bachelor's degree in business administration, project management, logistics, or a related field.
  • Minimum of 5 years of experience in project administration, logistics, or a related role, preferably with USAID or international development projects.
  • Strong organizational and coordination skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with asset disposition and knowledge of USAID regulations is a plus.
  • Strong problem-solving abilities and attention to detail.
  • Ability to manage multiple tasks and deadlines effectively.
