1. Position Background

The Legal Aid Society (LAS) is currently in the process of transitioning to a comprehensive Enterprise Resource Planning (ERP) system to centralize and streamline operations across departments. As part of this transition, a significant volume of historical data from the Monitoring, Research, Evaluation & Learning (MREL) unit, Programmatic teams, Human Resources (HR), and other departments needs to be digitized, standardized, and migrated into the ERP platform.

The volume of data spans multiple years and exists in various forms—Excel files, Google Sheets, physical records, and other digital formats—requiring intensive review, cleaning, formatting, and structured entry into ERP modules. 

2. Objective

To hire a qualified and efficient Data Entry Assistant who will support data digitization, transcription, entry, and validation tasks across MREL, Programmatic teams, HR, and other departments as needed, with a primary focus on ERP migration support.

3. Job Duties

The Data Entry Assistant will be responsible for:

  • Transferring historical and ongoing data from various formats (physical records, Excel, Google Sheets, PDFs, etc.) into ERP modules.

  • Assisting the MREL and Program teams in preparing data sets for upload, including cleaning, formatting, and ensuring data accuracy.

  • Entering programmatic indicators, HR records, training data, and documentation logs into ERP.

  • Transcribing data from hard copies and scanned documents into standardized digital templates.

  • Performing data verification and quality control checks in coordination with MREL/Program/HR focal points.

  • Supporting development of data catalogs and logbooks to track data entry status across departments.

  • Reporting progress, issues, and completion milestones on a regular basis.

4. Duration

This is a short-term contractual position, from the date of hiring until August 31, 2025, with the possibility of reassessment depending on project needs.

5. Required Qualifications and Experience

The ideal candidate should possess the following:

  • Proven experience in data entry roles, preferably in development or organizational settings.

  • Typing speed of at least 40 words per minute with high accuracy.

  • Proficiency in Microsoft Office Suite (Excel, Word) and Google Workspace (Sheets, Docs, Forms).

  • Ability to transcribe and digitize hard-copy documents with minimal supervision.

  • Familiarity with ERP systems or organizational databases (preferred but not mandatory).

  • Strong attention to detail and commitment to data quality.

  • Ability to manage multiple datasets simultaneously while meeting deadlines.

  • Basic understanding of M&E or HR documentation is a plus.
