Qualifications and Experience:

  • For the position of Procurement Officer, a bachelor’s degree and 2 years of experience are considered necessary.

Technical Competencies:   

Good knowledge on:

  • Procurement Management
  • Negotiation skills
  • Vendor management      

The candidate must have strong IT skills, including proficiency in Power BI, Excel, and Presentation tools

Key Responsibilities:

  • Manage the end-to-end procurement process, including sourcing, tendering, evaluation, and contract management.
  • Generate and present quarterly procurement reports to management, highlighting spending trends, vendor performance, and cost-saving opportunities.
  • Support continuous improvement in procurement processes and systems.
  • Search vendors from local market to get appropriate quotes for all required materials, use the assistance of operations staff for conducting market survey where physical presence cannot be possible.
  • Ensure to maintain and have at all times an updated list of suppliers, vendors, contractors, and service providers, online market sellers to obtain best quality, price and delivery. Continue to grow and expand this list for ensuring transparency and competitive tendering.
  • Maintain & issue record of Purchase Request Forms, Job Orders, Goods Receiving Notes and all such formats that are pre numbers and assigned at Locations.
  • Prepare and share procurement tracker, so that staff are updated on PRFs status.
  • Issue RFQ to all approved & potential vendors.
  • Coordinate to prepare and issue the annual procurement plan from all programs and departments and make a combine procurement plan for the department to ensure best purchasing practices such as bulk purchasing, maintain similar quality and standard of goods purchased.
  • Complete the procurement procedure as per the guidelines of the Organization and as per Donor requirements.
  • Support Procurement Manager to maintain files and report of all procurement records as per the Donor requirements.
  • To liaison with the Procurement Manager and other relevant colleagues in OD and Finance for the payments to suppliers.
  • To ensure that all the documentation is completed as per the set standards procedures of ISO standards and prepare all procurement documents for any evaluation /audits internally or externally.
  • Maintain a good working relation with all user departments and vendors in the purchasing scope of work for projects assigned.

 

 

The duties listed above covers most of the task that would be performed by the Procurement Officer in this position, however the Procurement Officer can also be assigned any other Official task by RD/DRD/Head of Procurement/ Procurement Manager as and when required
