Job Description:
- Oversee robust and efficient systems for administration and operations.
- Prepare purchase requests for office needs, ensuring adequate stock of supplies.
- Manage day-to-day small expenditures and replenishment processes.
- Safeguard cash receipts, petty cash, and reimbursement forms.
- Ensure timely payments for utility bills and finance submissions.
- Maintain office facilities to ensure a conducive working environment.
- Coordinate necessary repairs and building maintenance, liaising with building management.
- Organize office meetings and handle visitor documentation.
- Supervise support staff and drivers, assigning and following up on duties.
- Oversee fleet/transport operations in compliance with organizational policies.
- Manage inventory, including receiving and record-keeping.
- Update, review, and maintain records of assets.
- Ensure compliance with USAID policies and procedures.
- Perform other duties as assigned by the Line Manager.
Minimum Qualifications:
- Bachelor's degree in Business Administration or related field.
- 3-4 years of relevant experience; experience with USAID or its projects preferred.
- Proficiency in MS Office suite and excellent IT skills.
- Proven experience in maintaining detailed administrative records; retired armed forces personnel preferred.
- Strong management and communication skills.
- Ability to work independently and collaboratively.
- Proactive, result-oriented, and adept at building and maintaining effective relationships.
- Fluency in written and spoken English.
