Position Objectives:

Under the supervision of Admin & Finance Manager, the Administrative & Finance Assistant plays a crucial role in providing administrative and financial support to the organization. This position involves handling various administrative tasks, assisting with financial transactions, and ensuring the smooth operation of administrative and financial processes.

Specific Duties, Responsibilities, and Accountabilities:

1

Maintain all financial systems and ensure full compliance with PRCS financial Policies and Procedures.

Manage all bank and cash payments & ensure that maximum supporting documentation are attached/provided with all the vouchers.

Preparation and maintenance of Vouchers and ledgers & also make bank reconciliation at the end of each month and when required. Also responsible for the withdrawals and transfer of funds from banks.

Maintenance of Assets register, identify discrepancies and resolving issues.

Preparation of monthly financial report under the supervision of Finance Manager on the provided GL Module and its further submission to PRCS HQ finance department, including scanned versions of all the transactions.

Generation of all project variance reports along with spending analysis and BVA.

Maintenance and Updating of the finance filing system. Maintaining ledger, staff advances, Operational advances & Staff insurance record.

Assist in budgeting and forecasting activities, including gathering data and preparing reports.

Issuing of working / Operational advance to staff as per PRCS Polices.

10

Manage office supplies inventory, placing orders, and ensuring adequate stock levels.

Support to District Branches in logistics and administration.

12

Record maintenance of PHQ assets as per PRCS policies.

Maintenance and updating of Payroll module on regular basis.

14

Visit to Project Areas on regular basis to keep check and balance of project activities in the field level.

15

Any other task assigned by the Higher Management.

Education

  • B.COM, BBA (Hons) Finance from an HEC recognized University.
  • MBA or M.Com candidates may be given preference.

Experience

Minimum 2 years’ work experience required in the Finance Department in developmental or Humanitarian sector.

Skills / Knowledge

  • Excellent verbal communication and presentation skills
  • Proficiency with Microsoft Office (Excel, PowerPoint, Word)
  • Must have command on ERP systems
Age

Maximum age limit upto 40 years.
 

Travelling.

Need base to the Project Areas.
