Job Title: Admin and Inventory Assistant
Department: Operations
Location: Islamabad
Reports To: Operations Manager
Job Summary:
The Admin and Inventory Assistant will be responsible for providing administrative support and assisting with the management of inventory. This role ensures the efficient flow of operations, proper documentation, and accuracy in inventory tracking and reporting.
Key Responsibilities:
Administrative Support:
- Assist with day-to-day administrative duties including scheduling meetings, organizing documents, and preparing reports.
- Maintain office supplies and place orders as needed to ensure that office operations run smoothly.
- Assist in preparing presentations, reports, and other documents as required.
- Coordinate with different departments to ensure smooth operations.
Inventory Management:
- Track and manage inventory levels, ensuring accuracy and completeness of stock.
- Monitor stock movement and update inventory records regularly.
- Perform physical Fixed assets and stock counts and compare them with system records.
- Process purchase orders and monitor delivery schedules.
- Assist in managing the storage and organization of products and materials.
- Ensure that inventory is organized, and storage areas are clean and accessible.
- Assist in resolving Fixed assets inventory discrepancies and report any issues to the supervisor.
Data Entry and Record Keeping:
- Enter data related to inventory levels, purchases, and Prequalification of suppliers and supplies into the system.
- Maintain accurate records of inventory, purchase orders, and Prequalification of vendors and update the vendor list accordingly.
- Generate inventory reports and provide updates on stock levels and usage.
Compliance and Safety:
- Ensure that inventory and office supplies are stored by safety standards.
- Maintain a clean and safe working environment.
- Follow all the policies and procedures about inventory management.
Required Skills and Qualifications:
- Graduation, or equivalent; additional qualifications in office administration or supply chain management are a plus.
- One year of Experience working with NGOs in operations department.
- Previous experience in administrative roles or inventory management.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Knowledge of inventory management systems or software is an advantage.
- Good communication skills, both written and verbal.
