Job Description:
To efficiently coordinate and support the implementation of the National Media Fellowship (NMF) program, ensuring smooth logistical, administrative, and financial management. This role will facilitate stakeholder engagement, documentation, and reporting processes, while supporting advocacy efforts and fostering continuous collaboration with fellows and alumni to enhance media contributions on gender-related issues.
Main Responsibilities:
- Coordinate logistical, administrative, and financial arrangements for organizing technical workshops, inter-agency meetings, panel discussions, roundtables, field missions, and other program events under the National Media Fellowship (NMF).
- Manage all event-related tasks including venue selection, participant coordination, and ensuring the availability of necessary resources and materials.
- Facilitate necessary approvals, manage travel and accommodation arrangements, and ensure timely delivery of event-related inputs in line with organizational procedures.
- Ensure that all documentation is properly filed and easily accessible for future reference, ensuring compliance with organizational standards.
- Maintain accurate and up-to-date records of project activities, progress reports, work plans, and budgets in compliance with UNFPA guidelines.
- Regularly update all stakeholders on the status of ongoing activities, ensuring transparency and alignment with overall program objectives.
- Support the routine implementation of program activities, ensuring participation of relevant stakeholders, partners, and national counterparts in all program engagements, including trainings, workshops, meetings, and study visits, in coordination with the Gender Expert.
- Ensure effective coordination provincial media fellowship coordinators teams for the smooth execution of Provincial and National media fellowship and follow-up activities, providing necessary support when required.
- Organize regular planning, debriefing, and reflection meetings with Government officials and project partners to identify key learnings, challenges, and mitigation strategies.
- Contribute to the development of action plans based on meeting outcomes and follow up on identified challenges to ensure they are effectively addressed.
- Assist in monitoring NMF activities, analyzing key factors affecting program implementation, and recommending corrective actions where required.
- Regularly assess the effectiveness of ongoing activities and suggest improvements for future interventions.
- Support the national consultant in drafting all NMF-related reports, including workshop reports, refresher training reports, and fellowship project reports.
- Ensure that reports are timely, comprehensive, and aligned with the program's objectives and donor requirements.
- Facilitate documentation and sharing of learning materials, tools, and information across teams under the guidance of the Gender Expert.
- Create and maintain a knowledge-sharing platform for easy access to project resources and tools by all relevant stakeholders.
- Develop an action plan for engaging alumni of the First National Media Fellowship to foster continuous collaboration and support for NCSW initiatives.
- Regularly update and engage alumni through newsletters, webinars, and follow-up meetings to maintain active relationships.
- Maintain regular communication and coordination with NMF fellows to gather updates, strengthen networks, and promote their contributions to gender-focused media content.
- Encourage fellows to share their work and impact stories, contributing to the visibility and advocacy efforts of the NMF program
- Carry out any other task assigned by the supervisor
