Disclaimer: The position is advertised for emergency roster pool generation only. shortlisted candidates will be kept in the pool and will be contacted for the role in case of any emergency project. Management will update the list every three months.

Relevant Experience: Bachelor's degree or Bachelors in Pharmacy (B. Pharmacy) in relevant field from HEC recognized University with minimum 02 years overall experience with 01 year in relevant field in development sector. 

Position Objective: The Warehouse officer will be part of the ERT and will be responsible for physical management of the warehouse and supplies management and will be responsible for the stock IN and OUT in coordination with program and need. He will be responsible for the arrangement of Transportation and movement of supplies form warehouse to the intervention area. The post holder is responsible for identification of the new premises for warehouse with support of the sr. Logistics Manager and its establishment as per ACF standards and protocol. Weekly or daily reporting of supplies updates (IN/ OUT) to program and raising alerts

Job Description:

Mission 1: Warehouse Physical Management

The warehouse officer  is responsible for:

  • Ensure Physical integrity of the premises: security-protected entrances (lock and fire extinguishers), no water damage, no cracks in the roof or walls, no rodents, etc on regular bases.
  • Regular cleaning of floors, walls, Acs maintenance, no food or sugary drinks, etc
  • Protect the walls from direct sunlight (by an overhanging roof or an additional wall or with sandbags)
  • Close each opening (air vent and windows etc.)
  • Access only to authorized persons, one person in charge who is responsible.
  • Rodent control and eradication system in place.
  • Each opening (Window and air vent) with protective grill (if any)
  • Ensure Bin must be covered witg lid

Mission 2: Reception of supplies at ACF Warehouse

The warehouse officer is responsible for:

  • Check the number of parcels, according to the cargo manifest. In case of problem (missing parcels) report to the logistics co-ordinator.
  • Upon reception of the supplies randomly counting of the supplies and CTNs
  • Check the packing or the boxes. If any problem (damaged parcels) check carefully the content item per item and report to the logistics co-ordinator.
  • Acknowledge reception on the field stock request order form
  • Attribute one expedition number to each parcel
  • Fill the copy of the freight document, forward the originals to the office

Mission 3: Ensure proper Management of the supplies with in the warehouse and its tracking

  • Coordination with Sr. Log Manager, and custom clearance agent for release of supplies from the port and arrangement of transportation.
  • Supervision of casual workers working in the RTS area.
  • Registration of all movements of stock IN / OUT on the tools of the stock Management.
  • Update the SFU and Med SFU on daily bases as per IN/ OUT movement.
  • Conduct a monthly physical inventory/ as per need according to the procedure of AAH and the Chronogram of the pharmacy activities defined (If any)
  • Sharing of the SFU and Med SFU on regular bases with program team and maintain the time line of the alert system.
  • Ensuring that everything possible is done to combat factors leading to the damage of medical products.
  • The product should be kept in the required temperature(if required)
  • Arrange all the supplies as per batch and Expiry or as per category.
  • Follow the FEFO rule (First Expiry First out).
  • Keep follow up on the delivery notes out with program team to update the record of the warehouse.
  • Coordination with truck rental company for hiring of the trucks as per needs for shifting of the supplies from ACF warehouse to intervention areas.  
  • Coordination with program field team for movement of the supplies from ACF warehouse.
  • Responsible for all stock management and stock reconciliation system in the Warehouse.
  • Ensuring compliance with special storage conditions required for certain specific products (cold chain, products considered to be narcotics) if any.

Mission 4: Administrative follow-up of the warehouse

  • Daily update of the ready to ship (RTS)
  • Fill the delivery notes store’s copy
  • Issue the waybills and packing lists
  • Fill the waybills and packing list store’s copy
  • Daily update of the field stock release order forms
  • Send Weekly to the logistics manager all the office’s waybill copies and the ready to ship
  • Send weekly to the logistics co-ordinator all the closed orders
  • Prepare the field order follow up at the end of each month and send a copy to the logistics co-ordinator

Mission 5: ACFs gender equality, child protection sensitivity and Safeguarding policies

The Warehouse Officer is responsible for:

  • Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies  
  • Implement all work related activities with a gender, inclusion and child protection lens
  • Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability.

Skills and resources needed to perform the function:

  • Strong warehouse and supplies management skills
  • Excellent coordination and interpersonal skills
  • Able to analyze and summarize complex contextual information
  • Fluent in English, reading writing and speaking. Fluency in local language of the program implementation area will be preferred

  • Team management skills
  • Ability to handle stress and pressure
