Relevant Experience: Minimum 1 year experience in managing a warehouse with NGO/INGO 

Position Objective: Warehouse & Stock Management, Cargo & Dispatch management, Equipment & Asset Management

Job Description:

Mission 1: Warehouse Management

  • Respect Department of Health and ACF Kit Log stock management procedures (Receiving, Issuing and recording).
  • Manage all stocks of ACF Dadu (programmes, office and general supplies).
  • Ensure proper identification of all arrival/departure material (quantity, quality, and delivery).
  • Ensure correct preparation of deliveries
  • Respect ACF & Department of health  physical stock management requirements (organisation, cleaning, ventilation)
  • Follow-up with special attention expiry date of drugs & food, and warns the concerned department two months before expiry date.
  • Conduct monthly inventory check of stocks and ensure that stock cards are up-to-date, and accurate.
  • Update Stock Report & Stock Follow Up on a daily basis.  Disseminate to project  staff on base on a weekly basis.  Present to Base Supply Chain Supervisor for Monthly Log report on 1st of each month.
  • Submit monthly inventory of stock to ACF International, PNC and Department of Health
  • Assist in stock, inventory audit when needed.

Mission 2: Cargo And Dispatch Management

 

  • Prepare all cargo and shipping documents (Delivery Note, etc) of the material to be transported to the field teams for distribution.
  • Ensure safe preparation and loading/offloading of cargo onto transportation vehicles.

Mission 3: Equipment & Asset Management

  • Oversee the reception, transfer and dispatch of all equipment allocated according to the Department of health and ACF Kit Log Equipment handeling guidelines.
  • Maintain equipment files, individual file for each piece of equipment, according to Kit Log guidelines.
  • Follow up at least weekly with ACF Logistician on any status of any pending equipment to be transferred from  stock / equipment that has been sent for repairs.Report findings to District nutrition officer and ACF logistics.
  • Perform physical check of all equipments on a monthly basis in collaboration with DOH staff and line manager.  Note any concerns in the Monthly Equipment List and notify District nutrition officer and ACF Logistics.
  • Update the Equipment List with any change in equipment allocation etc.  Submit updated list to ACF, District nutrition officer and  for monthly report not later than the 1st of the following month. 
  • Maintain Small equipments inventory list ( weight scale etc)
  • Ensure Temporary Allocation forms are signed by all staff to whom a piece of equipment is assigned.
  • Facilitate external repairs of equipment when needed, as directed by ACF logistics.

Mission 4: Ensure compliance with ACFs gender equality, child protection sensitivity and safeguarding policies

  • Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies  
  • Implement all work related activities with a gender, inclusion and child protection lens
  • Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability

Specific skills needed to perform the function:

  • Understanding of Nutrition & medical related specifications
  • Working experience with INGO will be preferred
  • Local candidate will be prefered
